Abstract

A digital society is becoming a reality. With the tailwind of work style reforms, digital transformation (hereafter referred to as “DX”) has steadily permeated people’s lives in the name of efficiency. In addition, COVID-19, which has continued to spread seriously since the beginning of 2020, has boosted the acceleration of DX, making it urgent to break free from physical restrictions. Now that society’s values are changing in the transition period between digital and analog, there is much controversy about corporate record management, including storage media.

Therefore, in this paper, we conduct a case study of electronic records management in a private company. In this paper, we focus on electronic records in line with the background of the times, focus on the components of compliance, and analyze and consider them. After sorting out the good practices of NX Wanbishi Archives Co., Ltd., to which the author belongs, we have identified “internal control functions” that are directly linked to organizational management, “long-term storage support” that fulfills accountability and manages semi-permanently, and performance of transaction contracts. In order to prepare for risks such as natural disasters in the company, we will organize it from the point of view of “BCM measures”. Based on the analysis results, I will delve into what the decline of analogue and digital transition mean for organizational productivity, and describe the road to digitalization (= “aggressive digitalization”) and the prospects for record management.
